How to apply for a WCED school’s aftercare program

To apply for a WCED (Western Cape Education Department) school’s aftercare program, you can follow these general steps:

  1. Meet the Service Organisation:

Before you establish an After School Care Service, you must meet with the relevant Service Organisation in your area where the following will be discussed:

  • form 11 application form
  • DSD registration requirements and procedures
  • minimum norms and standards and other approvals that will be required such as
  • needs assessment form
  • business plan
  • job description for staff
  • clearance certificates as per the National Child Protection Register
  • daily/ holiday programme
  • menus
  • Municipal requirements which include:
  • municipal lease/ rental agreement
  • fire clearance certificate
  • zoning certificate
  • approved building plans
  • health clearance certificate
  1. Complete the relevant forms and submit it to the relevant Service Organisation.
  2. Site visits will be conducted by the relevant Service Organisation and Municipality who will determine: 
  • If the physical condition of the centre is satisfactory.
  • If administrative and financial systems are satisfactory.
  • If the services and programmes for the children are satisfactory.
  • If norms and standards are complied with.

Once all the requirements are met, the relevant Service Organisation will submit all the documents (portfolio of evidence) to DSD Head Office for the issue of a registration or conditional registration certificate. This certificate may be valid as follows: conditional registration certificates are valid for up to 2 years and full registration certificates are valid for up to 5 years, thereafter the same process will be followed for the renewal of registration of the facility.

  1. You have to re-register
  • When you move to another building or site.
  • When you make changes to the structure to accommodate more children.
  • When you sell the business or
  • When there is a change of ownership

5. Submit the Application: Once you have completed the application forms, submit them to the school as per their instructions. This may involve hand-delivering the forms to the school’s administration office or sending them via email or postal mail.

6. Follow Up: After submitting the application, it’s a good idea to follow up with the school to confirm receipt and inquire about the status of your application. This can help ensure that your child’s application is being processed and that you have provided all the necessary information.

7. Wait for Confirmation: The school will review the applications and determine if there is space available in the aftercare program. Once a decision has been made, they will notify you of the outcome. If your child is accepted into the program, they may provide you with additional information about enrollment, fees, and any other relevant details.
